The short answer
Most independent retailers need a reliable countertop card machine at the till. A POS system becomes worthwhile when you need stock control, barcode scanning, sales reporting or more than one till. Choose based on your transaction volumes, product range and staff, compare total costs, and make sure your connection — with a backup — keeps payments running.
Card machine or full POS system?
A card machine takes payments; a POS system also runs your till, stock and reporting.
| You need… | Card machine only | POS system |
|---|---|---|
| To take card and contactless payments | Yes | Yes (with an integrated or linked card machine) |
| Barcode scanning and stock control | No | Yes |
| Sales reports by product, staff or time | Basic | Detailed |
| Several tills or staff logins | Limited | Yes |
| Lower upfront and monthly cost | Usually | Usually higher, depending on hardware and software |
Features retailers commonly need
- Fast contactless and chip-and-PIN payments at the counter.
- Barcode scanning, stock levels and low-stock alerts.
- Prompts for age-restricted products, such as alcohol and tobacco, where the system supports them.
- End-of-day reports, refunds and staff permissions.
- Printed or emailed receipts.
Costs to compare
Compare the full monthly cost: card fees plus terminal, POS software, hardware and support.
- Card transaction fees and any monthly account charges.
- Card machine rental or purchase, and the length of any terminal agreement.
- POS software subscriptions, often charged per till or per location.
- Hardware such as scanners, receipt printers and cash drawers.
- Installation, training and support costs.
Keeping payments running
Card machines and POS systems depend on your connection, so plan for broadband reliability and a backup such as mobile data failover or terminals with their own SIM.
The UK's analogue telephone network is due to close on 31 January 2027. If an older card machine, alarm or other equipment still uses a traditional phone line, check with your provider how it will connect after the switch-off.
Energy and other running costs
Lighting, refrigeration and heating can make energy a significant cost for shops, particularly convenience stores with chillers. Keep track of your electricity contract end date so you can compare options before renewal rather than rolling onto out-of-contract rates.
Questions to ask before you sign
- What will I pay each month at my expected card turnover, including fixed charges?
- Is the card machine rented, leased or bought, and for how long?
- Does the card machine work with my till or POS system?
- How quickly will payments reach my bank account?
- What support is available, and when?
- What happens if my internet connection fails?
- How much notice do I need to give to leave, and are there exit charges?
How Meridian can help
Meridian Merchant & Energy Solutions Ltd helps UK businesses explore card machines, POS systems, merchant services, energy and broadband from the third-party providers we work with, explains the options and costs in plain English, and tells you who you would be contracting with before you decide.
Meridian acts as an introducer, broker or reseller depending on the service. The provider supplies the service under its own terms and carries out its own eligibility checks. We may receive commission from providers — you can ask us about it at any time, and it is disclosed where the rules require. Submitting an enquiry is free and does not commit you to anything.

Frequently asked questions
Do I need a POS system for a small shop?
Not always. Many small shops only need a card machine. A POS system becomes useful when you need stock control, barcode scanning, detailed sales reporting or several tills.
Can my card machine work with my till system?
It depends on compatibility between the card machine and the till or POS software. Ask the provider to confirm integration before you sign.
What happens to card payments if my internet goes down?
Without a connection, most card machines cannot authorise payments. A backup such as mobile data failover, or a terminal with its own SIM, can keep payments running.
